Position Summary:

The Executive Assistant (EA) has responsibility for providing a full-range of executive level administrative support and project management to the President and CEO, including work of a highly confidential and complex nature that requires considerable discretion, judgment, flexibility, decision-making, and attention to detail. The EA works closely with the Chief of Staff and Manager, Administrative and Governance Operations to coordinate, execute and manage the administrative functions of the Executive Office.

The Executive Assistant provides human resources assistance to the Chief of Staff, as well as administrative assistance to members of the Program Leadership Team (PLT) in the absence of the Senior Administrative Assistant or as crucial programmatic needs require.

The Executive Assistant is a member of ACHP’s Administrative Management Team (AMT) and shares in the responsibility for coordinating and managing the overall administrative operational needs of the office.

Core Responsibilities:

Provide core executive level administrative support to the President/CEO; ensure regular and efficient communication with the CEO; serve as a communications link between the CEO and other staff or outside parties to ensure follow-up and execution of the CEO’s work; and ensure efficient work flow management for the CEO.

  • Proactively anticipate the President/CEO’s needs and bring together appropriate resources and people to support the President in addressing issues.
  • Work closely with the Chief of Staff and Manager, Administrative and Governance Operations to maintain effective office procedures with efficient and effective work flows for the Executive Office, including researching and executing efficient and streamlined ACHP Executive Office functions and overall operations.
  • Manage the President/CEO’s daily schedule including scheduling meetings and conference calls; prepare her/his daily briefing book.
  • Screen President/CEO’s incoming calls; manage her/his e-mail messages and correspondence ensuring appropriate delegation, tracking and follow-up action; establish and manage an efficient and effective electronic and paper filing system; develop and maintain a system to alert the President/CEO of upcoming deadlines and incoming requests.
  • Compose, edit and monitor correspondence and reports for the President/CEO.
  • Take action authorized during CEO’s absence and use initiative and judgment to see that matters requiring attention are referred to delegated authority or handled in a manner so as to minimize the effect of the CEO’s absence. Report to CEO in a timely manner all crucial/time-sensitive calls and activities during her/his absence.
  • Develop and maintain a working relationship with key representatives from member plans, government offices, and allied organizations to arrange meetings, calls, appearances and other type of contacts.
  • Provide support for internal and external meetings and public commitments; research, abstract and compile supporting materials, talking points and documents for meetings, and assure execution of necessary follow-up activities.
  • Complete discrete projects assigned by or on behalf of the President/CEO that aid ACHP in meeting its goals and objectives.
  • Provide human resources assistance to the Chief of Staff including, posting job announcements, scheduling interviews, coordinating the new employee orientation process, and conducting research to ensure the organization remains compliant with federal and state laws.
  • Provide assistance to the Chief of Staff for support of the ACHP Membership Committee and related functions.
  • Coordinate with the Administrative Management Team (AMT) in the development of administrative systems and processes to improve the overall efficiency and effectiveness of ACHP’s office; provide administrative coverage of the office, including back-up assistance in answering ACHP’s main phone line as needed; provide back-up administrative support to members of the leadership team during the absence of the Senior Administrative Assistant or as needed for crucial, time-sensitive programmatic deliverables.
  • Other duties as assigned.


The incumbent will be a resourceful, adaptable, and professionally mature individual with good judgment and a solid administrative assistant skill set.  In addition, the incumbent should possess excellent oral and written communication skills, exemplary organizational and time management skills, and advanced skills with Microsoft Office Suite applications.

A positive, upbeat attitude, the ability to handle multiple tasks under time-sensitive deadlines, and the ability to work with minimum supervision and handle confidential matters with discretion are key requirements of the job.  Candidate must demonstrate initiative, attention to detail and excellent customer service skills.


  • Bachelor’s degree required
  • A minimum of 4 to 6 years of experience supporting C-Level Executives
  • Strong skills using MS Office applications (Word, Excel, PowerPoint and Outlook)
  • An interest in health care is helpful, but not required
  • Occasional travel

ACHP Plans Focus on Quality

ACHP members enroll about 14% of Medicare Advantage members, but enroll 98% of beneficiaries in CMS 5-star plans (the highest rating). Of the eleven plans that received 5 stars in 2011, eight are ACHP members.

In the 2012-2013 NCQA Health Plan Rankings, all of the nation’s top ten Medicare plans, seven of the top ten plans in the commercial rankings and six of the top ten plans in the Medicaid rankings are offered by ACHP members.

ACHP Members Rated Among Top Medicare Plans in the Country


WASHINGTON, D.C. —Seven members of the Alliance of Community Health Plans (ACHP) received 5 stars from the Centers for Medicare and Medicaid Services (CMS) for their combined Medicare Advantage and prescription drug (Part D) programs, the highest score awarded to health plans participating in the Medicare program. Only 11 plans (contracts) in the country received the 5-star rating for their combined Medicare Advantage and Part D offerings. An additional 2 plans offered by ACHP members received 5 stars for their stand-alone Medicare plans (Part C).

Community-Based Health Plans Lead National Rankings


WASHINGTON, D.C. —This year’s National Committee for Quality Assurance (NCQA) rankings of health plans are once again topped by Alliance for Community Health Plans member organizations, with all 10 of the nation’s top ten Medicare plans, 5 of the top ten plans in the commercial rankings and 5 of the top ten plans in the Medicaid rankings offered by ACHP members.
